PaddockMate Privacy Policy
Last updated: 12 October 2026
Cyrenxtech ("Cyrenxtech", "we", "us", or "our") operates the PaddockMate mobile application and any related services (together, the "App"). This Privacy Policy describes how we collect, use, disclose, retain, and protect information in connection with the App, and the choices and rights available to you. By creating an account, enabling sync, or otherwise using the App, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with it, do not use the App. This Policy is incorporated into, and should be read together with, our Terms of Service.
- Scope of This Policy
This Policy applies to information processed through the App, including information you provide directly, information generated by your use of the App's features, and information we receive from third-party service providers described below. It does not apply to third-party websites, apps, or services that may be linked from the App; those are governed by their own privacy policies, and we are not responsible for their practices.
- Information We Collect
Account information: your name, email address, profile photo (if supplied by Apple or Google sign-in), and a unique account identifier. Farm and livestock records you create: animal profiles (including species, breed, tag numbers, identifiers, sex, dates of birth, lineage/parentage, photographs you attach), breeding records, pregnancy checks, birth records, health and treatment records, feeding records, weight records, paddock/group assignments, and journal entries (including any photos or voice-note transcripts you choose to save).
Device-captured content you choose to provide: photographs taken or selected via the App's camera features, and audio processed on-device for voice-to-text journal entries. Audio is transcribed locally on your device using the platform's own speech-recognition service; we do not transmit raw audio recordings to our servers. Sharing and connections data: if you connect with another farmer or share a record, we process the identities of the parties involved, the fields you chose to share, and any share-link tokens you generate. Subscription and billing data: your subscription tier, status, renewal dates, and transaction identifiers as reported to us by the Apple App Store, Google Play, or RevenueCat. We never receive or store your payment card number or full billing details. Technical and usage data: device type and operating system version, app version, crash and diagnostic logs, approximate performance metrics, and sync/connectivity status, collected to keep the App reliable and to diagnose faults. Support correspondence: anything you send us when you contact support, including your email address and the content of your message.
- How We Collect Information
Directly from you, when you create an account, enter farm or animal records, take or upload photos, use voice-to-text, configure sharing, or contact support. Automatically, through the App's own operation — for example, sync timestamps, local database records, and basic diagnostic logging. From third parties, including Apple and Google (sign-in identity and, where applicable, basic profile details), and RevenueCat or the relevant app store (subscription and entitlement status).
- How We Use Information
To provide, operate, and maintain the App and its features, including offline-first local storage and multi-device sync. To authenticate you, secure your account, and prevent fraud, abuse, and unauthorised access. To process, validate, and manage subscriptions and entitlements. To operate features you activate, such as ear-tag scanning (on-device text recognition matched against your own animal records), voice-to-text journal entries, and farmer-to-farmer connections and record sharing. To respond to support requests and communicate with you about your account, the App, material changes to this Policy, or our Terms of Service. To maintain, debug, and improve the App's reliability, performance, and security, including through aggregated or de-identified analysis of technical and usage data. To comply with our legal obligations, resolve disputes, and enforce our agreements. We do not use your farm or animal records to train generative AI models, and we do not sell your personal information.
- On-Device and AI-Adjacent Processing
Some features process content on your device rather than on our servers. Ear-tag scanning uses on-device optical text recognition to read text in a photo you take, and matches the result against tag numbers already stored in your own account; the photo and recognised text are not uploaded to us for this purpose. Voice-to-text journal entries use your device's own speech-recognition service to produce a transcript locally, which you then review and may edit before it is saved as a journal entry. Neither feature performs, and the App does not otherwise offer, any automated identification of an animal's species, sex, health condition, or weight from a photograph; any such determination is made by you, the farmer, not the App. My PaddockMate, the in-app help guide, answers questions from a library of pre-written guidance built into the App. What you type into it is matched on your device and is not sent to us or to any AI service. Farm reminders, if you turn them on, are scheduled as local notifications on your device from your own records; they are off until you switch them on, and turning them off cancels them.
- Who We Share Information With
We disclose information only as described here, and only to the extent reasonably necessary: Supabase (database hosting, authentication, and backend infrastructure) — stores your account and farm records. Apple and Google — process sign-in and, where applicable, in-app purchase transactions. RevenueCat — processes subscription and entitlement status. Other users you explicitly connect with or share a record with, limited to the fields and animals you choose to share, and revocable by you at any time. Apps and people you share a record picture with — when you share a record as a picture or save it to your photo library, it goes to the app, service, or person you choose and is then handled under their terms. Professional advisers, auditors, and insurers, where reasonably necessary to operate our business. Any party, where required to comply with applicable law, a court order, or a lawful request by a public authority, or to protect the rights, property, or safety of Cyrenxtech, our users, or the public. A successor entity, in connection with a merger, acquisition, financing, or sale of some or all of our assets, subject to that entity assuming the commitments of this Policy for pre-existing information. These service providers may process information outside your country of residence. Where they do, we rely on the provider's own contractual, technical, and organisational safeguards, and on standard contractual clauses or equivalent mechanisms where required by law. We do not sell or rent personal information to third parties for their own marketing purposes, and we do not share your personal information with third parties for cross-context behavioural advertising.
- Data Retention
We retain your account and farm records for as long as your account remains active, and thereafter for as long as reasonably necessary to fulfil the purposes described in this Policy, resolve disputes, enforce our agreements, and comply with legal, accounting, or regulatory retention requirements. Local, on-device data persists on your device until you delete the App, delete the relevant record, or request account deletion. Where we retain information after account deletion as permitted or required by law, we take reasonable steps to limit it to what is necessary for that purpose and to protect it accordingly.
- Account and Data Deletion
You may request deletion of your account and associated data at any time from within the App or by contacting us using the details below. On a verified deletion request, we will delete or irreversibly de-identify your personal information within a reasonable period, except for information we are permitted or required to retain — for example, records needed to resolve disputes, enforce our agreements, prevent fraud, or comply with a legal, tax, or regulatory obligation. Deleting the App from your device removes locally stored data from that device but does not, by itself, delete data already synced to our servers or delete your account.
- Your Rights
Depending on where you live, you may have rights to access, correct, port, restrict, or object to our processing of your personal information, to withdraw consent where processing is based on consent, and to lodge a complaint with your local data protection or privacy regulator. This includes, without limitation, rights under the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles, the New Zealand Privacy Act 2020, the EU and UK General Data Protection Regulation, and applicable US state privacy laws such as the California Consumer Privacy Act as amended by the California Privacy Rights Act. We do not sell personal information and do not share it for cross-context behavioural advertising, so there is no sale or sharing to opt out of under those laws. To exercise any right described in this section, contact us using the details below; we may need to verify your identity before acting on your request.
- Legal Basis for Processing (EEA/UK Users)
Where the GDPR or UK GDPR applies, we process your personal information on one or more of the following legal bases: performance of a contract with you (providing the App and its features), our legitimate interests (securing, maintaining, and improving the App, and preventing fraud or abuse), compliance with a legal obligation, and, where applicable, your consent, which you may withdraw at any time without affecting the lawfulness of processing before withdrawal.
- International Data Transfers
We and our service providers may store and process information in countries other than the one in which you reside, including countries that may not have data protection laws equivalent to those in your home jurisdiction. Where we transfer personal information internationally, we take reasonable steps to ensure it receives an adequate level of protection, including through contractual commitments from our service providers.
- Children's Privacy
The App is not directed to, and is not intended for use by, children under 16 years of age, and we do not knowingly collect personal information from children under that age. If you believe a child has provided us with personal information, contact us and we will take reasonable steps to delete it.
- Security
We use reasonable technical and organisational measures designed to protect your information, including encryption of data in transit, row-level security policies on our database restricting access to your own farm's records, and access controls for our personnel and service providers. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your device and sign-in credentials secure, and for promptly notifying us of any unauthorised use of your account that you become aware of.
- Data Breach Notification
If we become aware of a data breach that is likely to result in serious harm to you, or that otherwise requires notification under applicable law (including the Australian Notifiable Data Breaches scheme or an equivalent regime), we will notify affected users and any relevant regulator as required by that law.
- Automated Decision-Making
We do not use your personal information to make decisions that produce legal effects concerning you or similarly significantly affect you based solely on automated processing. The on-device features described in Section 5 are informational tools you control and review; they do not make decisions about you or your animals.
- Third-Party Services and Links
The App relies on third-party infrastructure described in Section 6 to function, and may, from time to time, link to third-party websites or resources (for example, support or legal pages). We do not control, and are not responsible for, the privacy practices or content of third parties. Reviewing the privacy policy of any third party before providing it with information is your responsibility.
- Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes to the App, our practices, or legal requirements. We will post the updated version in the App with a revised "Last updated" date, and where a change is material, we will provide additional notice reasonably calculated to reach you (for example, an in-app notice) before it takes effect. Your continued use of the App after an updated Policy takes effect constitutes acceptance of the update.
- Contact Us
Questions, requests, or complaints about this Privacy Policy or our handling of your information can be sent to: contact@cyrenx.biz. We will endeavour to respond within a reasonable time and in accordance with applicable law.
